07.01 · Who we are
Who we are
SelfCRM is a cloud WhatsApp CRM provided as a subscription by CODEINTELLI AI LABS (OPC) PRIVATE LIMITED ("Codeintelli", "we", "us" or "our"), a company incorporated in India. This policy explains how we handle personal information when you visit selfcrm.in, contact our team, start a trial or subscription, use the SelfCRM app, or connect a WhatsApp Business Account to SelfCRM.
When you connect WhatsApp, Meta's onboarding window shows Codeintelli AI Labs as the business you are connecting to. Codeintelli is the verified Meta Tech Provider that operates SelfCRM, so this is the same connection.
For subscription customers, we host the workspace and process its data on the customer's behalf to provide the Service. Enterprise customers may agree a different setup, such as a dedicated server or infrastructure they manage, under a separate written agreement.
We do not sell personal information or WhatsApp message content. We use information for the purposes described in this policy and share it only as needed to operate the service, comply with law, or follow the instructions and permissions of the relevant customer.
07.02 · Information we collect
Information we collect
Depending on how you interact with SelfCRM, information may include:
- Contact and inquiry details
- Name, work email, phone number, company name, and the content of a sales, demo or support request that you choose to send us.
- Account and sign-in details
- Your name and email address, and, if you sign in with Google, the basic profile Google shares with us (see “Signing in with Google” below). SelfCRM does not use passwords: you sign in with Google or with a one-time code we email you, and we keep only a scrambled form of each code until it expires.
- Account and subscription details
- Company and billing information, your plan, subscription and payment status, invoices, transaction references and account records needed to provide the Service.
- Website and device information
- Basic technical logs, browser and device information, referral information, pages visited, cookie or preference data, and analytics events where enabled.
- WhatsApp account information
- When you choose to connect a WhatsApp Business Account, identifiers such as the WhatsApp Business Account ID and phone number ID, connection status, business profile or phone-number information, templates, permissions and other data available under the access you authorize.
- Messaging data
- Where the connected SelfCRM features require it, message content and metadata, contacts, attachments, delivery or read statuses, message echoes and synchronization events supplied through the WhatsApp Business Platform.
- Support and troubleshooting
- Messages and diagnostic details you voluntarily share, and data made available if you expressly grant the team access to an environment for support.
The exact data processed depends on the features you enable, the permissions you grant through Meta, and, for Enterprise customers, the setup agreed in writing.
07.03 · Signing in with Google
Signing in with Google
You can sign in to SelfCRM with your Google account. When you do, Google asks you to allow SelfCRM to see your basic profile. We request only the openid, email and profile permissions, and we receive:
- Your email address
- Used as your SelfCRM login and to send sign-in codes, security and account emails. We accept it only when Google confirms it is verified.
- Your name
- Shown on your account and to teammates in your workspace.
- Your profile picture
- Shown as your avatar. You can change or remove it in SelfCRM at any time.
We use this information only to create your SelfCRM account, sign you in and show who you are inside your workspace. We do not ask for or receive access to your Gmail, Google Drive, Contacts, Calendar or any other Google data, and we never receive your Google password.
SelfCRM's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not sell Google user data, do not use it for advertising, do not use it to train AI or machine-learning models, and do not let people read it except where you ask us to for support, where needed for security, or where the law requires.
- Sharing. Google profile data is not shared with third parties, except the hosting and email providers that run SelfCRM for us under confidentiality obligations, or where the law requires.
- Storage and security. It is stored with your account on our servers, encrypted in transit, and protected by the same access controls as the rest of your account.
- Retention and deletion. We keep it while your account exists. You can delete your account and this data at any time; see the Data Deletion page or write to us using the contact details below. Deletion removes it from our live systems; copies in protected backups are removed when those backups expire.
- Removing access. You can remove SelfCRM's access to your Google account at any time from your Google Account permissions page (myaccount.google.com/permissions). You can still sign in afterwards with a code sent to your email.
07.04 · How we use information
How we use information
We use information as reasonably necessary to:
- Provide and maintain SelfCRM. Run your workspace, provide the features of your plan, troubleshoot problems and respond to requests.
- Connect authorized WhatsApp assets. Complete onboarding that you initiate, maintain the connection you authorize, display connected-account information and deliver messaging features you have enabled.
- Process transactions. Bill your subscription, maintain billing records, and handle refunds or related questions.
- Protect our services. Detect abuse, investigate security issues, enforce our terms and maintain records required by law.
- Communicate with you. Send service, security, purchase or support messages and respond to inquiries.
- Improve the product. Understand site and product performance using analytics or feedback where those tools are enabled and permitted.
We do not use WhatsApp platform data for unrelated advertising, sell message content, or access a customer's WhatsApp assets outside the permissions and purpose the customer authorizes.
07.05 · Where your workspace data is stored
Where your workspace data is stored
Where data is stored matters
We host your workspace. Your data stays yours.
Subscription workspaces
Conversations, contacts, CRM records and files in your workspace are stored on infrastructure we operate with our hosting providers, to provide the Service you subscribed to.
WhatsApp connection
Information needed by the integration is transmitted between your connected WhatsApp account, Meta's platform and your SelfCRM workspace.
Your control
You can export your chats and contacts at any time, and ask us to delete your workspace data as described in our Data Deletion Instructions.
Enterprise setups
Enterprise customers may agree a dedicated server, their own database or an on-premise installation. Where the customer manages that infrastructure, the customer controls the data stored there.
Connecting to WhatsApp always involves Meta, and optional integrations such as AI providers receive the data needed to do their job. Review the integrations you enable.
07.06 · WhatsApp and Meta integrations
WhatsApp and Meta integrations
When a business chooses to connect WhatsApp to SelfCRM, it is directed through the relevant Meta authorization or Embedded Signup flow. By completing that flow, the business grants the permissions shown by Meta for the selected business assets.
Depending on the permissions and features enabled, SelfCRM may process WhatsApp Business Account and phone-number identifiers, profile details, message templates, messages, contacts and messaging events needed to show or operate the connected CRM features. We use this information to provide the functionality the business requested and do not claim ownership of the business's Meta account, phone number or message content.
A business can stop future access by disconnecting the integration or revoking the relevant authorization in Meta's settings, where available. Disconnecting an integration does not itself delete data already stored in your workspace or other systems; see our Data Deletion Instructions.
WhatsApp and Meta services are provided by Meta under their own terms and privacy notices. The business using SelfCRM is responsible for obtaining any required notices, permissions and lawful consent from people it messages, and for complying with applicable WhatsApp Business Platform policies.
07.07 · AI features and other integrations
AI features and other integrations
SelfCRM can be configured to work with third-party services, including AI providers. If you enable an integration, the data needed to provide that feature may be sent to the provider you select or configure. This can include prompts, message context, files or other content you choose to pass to that feature.
Review the settings and privacy terms for each configured provider before enabling it. If you bring your own AI key, the provider account and its terms are yours. For Enterprise setups managed by the customer, the customer is responsible for the integration credentials and configuration used there.
07.10 · Data retention and security
Data retention and security
We retain information for as long as reasonably needed for the purposes described here, including providing the Service, managing subscriptions, answering support requests, resolving disputes and meeting legal, tax, accounting or security obligations. Retention periods differ by data type and by the service or system in which it is stored.
We use reasonable administrative and technical measures appropriate to the systems we operate. No method of storage or transmission can be guaranteed to be completely secure. Enterprise customers who run SelfCRM on infrastructure they manage are responsible for access controls, updates, backups and security measures for that environment.
07.11 · Your choices and privacy requests
Your choices and privacy requests
Depending on applicable law, you may ask to access, correct or delete personal information that Codeintelli holds about you. Email privacy@selfcrm.in and describe your request. We may ask for reasonable information to verify your identity and locate the relevant records before acting.
For instructions on account deletion and WhatsApp disconnection, see the Data Deletion Instructions. Certain transaction, tax, fraud-prevention or security records may need to be retained where required or permitted by law.
07.12 · Changes to this policy
Changes to this policy
We may update this policy to reflect changes in SelfCRM, enabled integrations or legal requirements. The revised version will be published on this page with a new "Last updated" date. If a change materially affects how we handle information, we will provide any additional notice required by law.
